his Privacy Policy explains how Renewed Headsets ("Renewed Headsets", "we", "us") collects, uses, discloses and protects personal information when you visit renewedheadsets.com (the "Site"), buy from us, request a quote, or use our trade-in program.

2. Information we collect

a. Information you give us

  • Order information: name, billing and shipping address, email address, phone number, and order contents. Payment card details are collected and processed by our payment providers — we do not store full card numbers.
  • Account information if you create an account.
  • Business and procurement information: company name, purchase order numbers, tax-exemption certificates, and the information needed to issue a W-9 or extend Net 30 terms, including information used to assess creditworthiness for invoiced accounts.
  • Trade-in information: details of equipment you offer us, and the contact and payment details needed to complete a trade-in.
  • Communications: quote requests, support enquiries, back-in-stock notification sign-ups, product reviews, and marketing sign-ups.

b. Information collected automatically

  • Device and usage information: IP address, browser type, device type, time zone, referring URL, pages and products viewed, and how you interact with the Site. Collected through cookies, log files, pixels and similar technologies.
  • Approximate location: derived from your IP address, including through third-party IP lookup services, to estimate country for currency, shipping and fraud screening.
  • Advertising click identifiers: when you arrive from an advertisement, we store the advertising click identifier from the link (for example Google's gclid, gbraid and wbraid, Microsoft's msclkid, Meta's fbclid, TikTok's ttclid) together with any campaign parameters (utm_source, utm_medium, utm_campaign, utm_term, utm_content) and the page you landed on. These are held in your browser's local storage for up to 30 days under the key rh_attr_v1 and, if you place an order, are attached to that order so we can tell which advertising produced the sale. They contain no name, contact details or payment information.

c. Information from third parties

We may receive information from payment providers, fraud-screening services, shipping carriers, and marketplaces or fulfilment partners where you buy from us or where your order is fulfilled on our behalf.

3. Sensitive personal information

We do not knowingly collect sensitive personal information as defined by California and other U.S. state privacy laws (such as government identifiers, precise geolocation, health information, biometric data, or account log-in credentials combined with access codes), and we do not use or disclose personal information for the purpose of inferring characteristics about you.

4. How we use personal information

  • To process, fulfil, ship and invoice your orders, and to handle returns, warranty claims and advanced replacements.
  • To provide quotes, apply volume pricing, process purchase orders, and administer tax exemption and invoiced payment terms.
  • To run our trade-in program.
  • To communicate with you about orders and support, and — where you have asked for it — product availability and marketing.
  • To screen orders for fraud and protect against misuse of the Site.
  • To measure and improve the Site, including which pages and products perform well.
  • To measure advertising effectiveness and to show you relevant advertising on other websites and apps.
  • To comply with legal, tax and accounting obligations.

5. Cookies and similar technologies

We use cookies and similar technologies that are strictly necessary to operate the Site and your cart, plus analytics and advertising technologies. You can control cookies through your browser settings; blocking strictly necessary cookies may stop parts of the Site working. See section 8 for opting out of targeted advertising, and section 9 for the Global Privacy Control signal.

6. Who we share personal information with

We do not sell personal information for money. We share it with the following categories of recipients, and name the specific providers we rely on so you can review their own privacy practices:

  • E-commerce platform and hosting: Shopify — shopify.com/legal/privacy.
  • Payment providers: Shopify Payments and Shop Pay; Amazon Pay, where you choose to check out with your Amazon account.
  • Fulfilment through Buy with Prime: where a product is offered with Buy with Prime, your order and delivery information is shared with Amazon so the order can be fulfilled, delivered and returned under that program. Amazon handles that information under its own privacy notice — amazon.com/privacy.
  • Shipping carriers, to deliver your order and process returns.
  • Analytics: Google Analytics and Google Tag Manager — policies.google.com/privacy. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout.
  • Advertising and measurement partners: Google (including Google Ads and Merchant Center) and Microsoft Advertising, to measure campaigns and deliver relevant advertising.
  • Site functionality providers: including our back-in-stock notification provider and IP-based country lookup services.
  • Professional advisers, and authorities where we are legally required to disclose information, or to establish, exercise or defend legal claims.
  • A buyer or successor in the event of a merger, financing, reorganisation or sale of assets.

7. "Sales", "sharing" and targeted advertising

We disclose device and usage information to advertising partners so that we can show you advertising relevant to your interests on other websites. Under California and several other U.S. state privacy laws this may be treated as a "sale" or "sharing" of personal information, or as "targeted advertising", even though no money changes hands. You have the right to opt out.

  • request deletion of your personal information;
  • request correction of inaccurate personal information;
  • opt out of the sale or sharing of personal information and of targeted advertising;
  • limit the use of sensitive personal information (we do not use it for purposes that trigger this right);
  • not be discriminated against for exercising your rights; and
  • appeal a decision we make about your request.

EEA and UK residents. You may have the right to access, correct, delete, restrict or object to our processing of your personal information, and the right to data portability and to lodge a complaint with your supervisory authority. We process personal information to perform our contract with you (fulfilling orders), for our legitimate interests (running, securing and improving our business), with your consent (marketing, where required), and to meet legal obligations. Your information may be transferred to and processed in the United States and other countries, with appropriate safeguards where required.

We will verify your request using information already associated with you, such as your order email address; we may ask for additional information where needed to confirm your identity. An authorized agent may submit a request on your behalf with written permission. We respond within the timeframe required by applicable law (generally 45 days, extendable where permitted). If we decline your request you may appeal by replying to our decision, and we will respond to the appeal in writing.

We keep order and transaction records for as long as needed to fulfil the order, honour our 1-year warranty and 90-day return period, provide lifetime support, and meet tax, accounting and legal obligations. Advertising click identifiers stored in your browser expire after 30 days. Marketing contact details are kept until you unsubscribe. Retention of data for 7-years.

13. Security

We use appropriate technical and organisational measures to protect personal information, including encryption in transit and access controls, and we rely on Shopify's PCI-DSS compliant infrastructure for payment processing. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

14. Children

The Site is intended for business and adult consumers. We do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

15. Third-party links

The Site links to third-party websites, including manufacturer and marketplace pages. We are not responsible for their privacy practices, and we encourage you to read their policies.

16. Changes to this policy

We may update this policy to reflect changes in our practices or for legal or regulatory reasons. We will update the "Last updated" date above, and where changes are material we will take any additional steps required by law.
